CRM and the customer record

A system that
recognizes the customer

Callmenta CRM is not a separate product; it is the ground the contact center and the messaging channels stand on. The moment the phone rings, who is calling, what was discussed before, which job is still open and the last order are all on one screen. The agent does not switch systems and the customer does not explain themselves twice.

What is on the customer record

The record is fed by every surface you touch. It is not a form somebody fills in by hand.

Number recognition gate

Which customer a phone number or an email belongs to is answered in exactly one place, and the customer's second and third numbers point at the same record. The same person does not live as two separate entries.

Timeline

Calls, conversations, tasks, quotes and field visits line up in one stream. The whole relationship reads off a single screen.

Past calls attach too

A newly created record does not start empty; older conversations from that number are matched backwards and written onto it.

Missed call task

An unanswered call is not lost; it becomes a callback task with an owner. Who will call back never stays unclear.

Automation without surprises

The rule engine is trigger, condition and action. Every applied rule is written to a ledger, so why the system behaved that way can be read afterwards.

Stage automation

When an opportunity changes stage, steps like opening a task, assigning an owner and applying a tag run on their own. Ready made stage sets arrive per industry.

In sync with quotes

Creating, revising and approving a quote moves together with the CRM stage; which quote is waiting at which step is visible from the customer record.

From enquiry to customer

An enquiry from the website or a channel opens a customer record, links it to an existing one where there is a match, creates a call task and assigns it to an agent.

Automation does not email customers

There is deliberately no action in the rule engine that sends bulk or automatic email. Anything that goes to a customer goes because a person decided to send it.

Data quality and boundaries

A CRM is worth as much as the data inside it is clean. Rather than waiting for the mess and cleaning later, it is measured.

  • Completeness score: which record is missing which field, as a list.
  • Duplicate detection: entries pointing at the same customer are found and merged onto one record.
  • Company scope is set explicitly: one company's data never leaks into another in any query, and without a scope the result comes back empty.
  • The same rule in analytics: stage transitions, conversion and loss reasons are all computed against one company.

It takes the shape of your industry

We do not hand you an empty CRM and wait for you to define the fields. Industry add-ons arrive with the fields in place.

Healthcare

Patient record, appointment and transfer flow; data on the healthcare line is handled separately.

Automotive service

Vehicle, plate, chassis and service history sit ready on the record, so nobody asks the customer for them.

Debt collection

Balance, payment promise and follow up tasks; the promise is extracted from the conversation and stays tracked.

Law firm

Case files, hearings and deadlines run alongside the client record.

Frequently asked

We already have a CRM. Do we have to replace it?

You do not. There are prebuilt connectors for Salesforce, HubSpot, Zendesk, Freshdesk and Google Contacts, and anything not on the list connects through a generic webhook. In that setup calls and conversations flow into your CRM. For companies that would rather work in one system, Callmenta CRM is there as well.

Can we migrate our existing customer data?

You can. During migration duplicates are detected and entries pointing at the same customer are merged; the completeness score shows which fields arrived empty.

Does the customer record really open when the phone rings?

It does. The recognition gate looks at the customer's primary number and at their additional contact points. For an unknown number no empty record is created; at the end of the call the agent creates one in a single step.

If we set up automation, do we lose control?

You do not. Every rule is trigger, condition and action; each applied rule is written to a ledger and can be read back. And there is no action that sends email to a customer on its own.

Can our data mix with other companies?

It cannot. Queries do not run without the company scope being set explicitly, and without it the result is empty. That behaviour is deliberate: a query written incompletely returns nothing rather than leaking data.

Let us look at it with your own data

In the demo we work with the way you actually operate rather than sample records: how number recognition, the timeline and the missed call task behave for you.
